UW Health Sciences Library

The Commons Computer Labs are available for UW academic classes, exams and other official UW events, with priority given to Health Sciences users. Rooms are suitable for classes and exams requiring hands on computer access. Other rooms are available for uses that do not require workstations for participants.

When not reserved, these rooms are available for drop-in use by UW students. Room reservation requests may be limited to ensure availability for student access.

Service Fees

Service fees are charged for the staff time involved to support non-instructional events. To reserve classrooms for instructional use, please contact the Commons Computer Lab by directly emailing hsllabs@u.washington.edu or Paul Ludecke (ludes@uw.edu) to discuss availability.

Classrooms A-C & Library Teaching Lab:

  • $50 for each classroom per day during University business hours (M-F 8-5) for other uses, e.g. exams
  • No charge for instructional use by Health Sciences Schools and UW Medicine (additional fees apply for loading software or data)

Open Area:

  • $100 per day during University business hours (M-F 8-5) for exams and other events
  • Not available for instructional use

Rates include assistance with computer certification, exam software loading and troubleshooting. They do not include loading other software, exam proctoring or purchase of software.

Additional Fees:

  • Reservations outside of University business hours (M-F 8-5): $100 per hour.
  • Cancellation fee: No charge if cancelled more than a week before the event; half of the total fees if cancelled less than a week before the event.
  • Make up exams involving fewer than 10 people will be given space at no charge during business hours. Standard rates will apply for larger groups or for makeup exams held outside of these hours.

Fees must be paid by UW budget number, no cash payments.

Reservations

Reservation requests are accepted up to two years in advance for exams and 9 months in advance for academic classes.
Scheduling is based on space availability.

No reservation is final until confirmed by library staff.

Your reservation request should include the following information:

  • Event Name/ Course Name & Number
  • Number expected to attend
  • Reservation contact name & contact information
  • Instructor information (if different from contact )
  • Software used for event
  • Dates and times needed

Use Policy

  1. Official University use. Only University of Washington departments may reserve The Commons Classrooms for official University purposes. Rooms are suitable for classes and exams requiring hands on computer access. Rooms are not available for private use or social events.
  2. Scheduling. The scheduling of events will be based on space availability and approval by User Experience staff. Reservations must be made at least one month in advance. The Health Sciences Library reserves the right to refuse any request and to set priorities, including modifying and cancelling reservations.
  3. Food & Beverages. Food & Drink are not allowed in The Commons Classrooms. Additional space is available to rent for serving snacks and beverages. Users must follow the UW Libraries policies on food and drink. Refrigeration and cooking facilities are not available. Users are responsible for cleaning up food remains and the room must be cleared and furniture reset promptly at the end of the event.
  4. Responsibility. Groups reserving the room must schedule, plan and expedite all reservations, audiovisual equipment rentals, and room preparation and cleanup/restoration. The Health Sciences Library is not responsible for any lost, stolen or damaged property belonging to the members of groups using the facilities. The cost of repairs to room, furniture, flooring or equipment damaged during an event are the responsibility of the sponsoring department.
  5. Exam Proctoring. Users must provide their own exam proctors. The Health Sciences Library does not provide proctoring services.
  6. Safety. The facility operates under additional restrictions during the pandemic. Event organizers may receive a Memorandum of Understanding to review regarding the additional restrictions and responsibilities and may also need to get prior approval for the event from the Graduate Medical Education (GME) office.
